Parish Administrator
Job Announcement and Position Description

Kingo Lutheran Church-ELCA in Shorewood, WI seeks to hire a part-time Parish Administrator (PA) who provides office support to the congregation, staff, committees and tenants, in order to promote the ministries and mission of the church.

 

Position Type: Monday – Thursday 9am – 2pm

Requirements

  1. Support the mission and vision of Kingo, a congregation of the ELCA
  2. Is curious about the Spirit’s activity in the church and world
  3. Work independently as well as collaboratively
  4. Work through conflicts in the spirit of love, trust, and a hope for resolution
  5. Maintain confidentiality and demonstrate appropriate boundaries in relationships
  6. Collaborate with volunteers, staff, ministry teams, council to run the office smoothly, effectively and efficiently

Qualifications

  1. Is familiar with faith-based organizations and the church calendar
  2. Exhibit excellent verbal and written skills
  3. Degree, coursework, experience with communication, business/office management
  4. Proficient with office software, spreadsheets, database management
  5. Proficient with electronic communication software (Mailchimp, Outlook)
  6. Can work within a budget
  7. Is self-directed and able to prioritize workload and time constraints
  8. Is a welcoming, responsive, and calm presence in the church office
  9. Is a helpful resource to the congregation, staff, and community

Duties of the Parish Administrator includes, but is not limited to:

  • Answer phones, check voicemail and email, change phone messaging, get mail/sort mail
  • Design weekly worship programs in print and digital form
  • Welcome & Blessings form: designs/distributes/collects/organizes responses
  • Manage Kingo calendar
  • Manage sign-up lists for worship leadership and other ministries
  • Manage data and congregation records:
    • document worship attendance
    • compile and distribute annual reports
    • file council reports, and other reports
    • file parochial report
    • document baptism, weddings, deaths, membership changes
  • Manage contracts with vendors
    • research and compare vendors
  • Manage contracts for Kingo parking lot tenants
  • Manage facility Use Agreements (contracts) for outside groups
  • Manage licenses and accounts
  • Manage Parish Registry
  • Manage insurance info/records/claims
  • Manage inventory of office supplies and other property supplies
  • Document office expenses (monthly)
  • Prepare a proposed office budget for new fiscal year
  • Coordinate with vendors and/or Shorewood Village to keep property up to code, clean, safe (pest control, lawn/snow removal, WM, North Shore Fire Dept etc)

 

Other Duties

  1. Attend weekly staff meetings
  2. Participate in the Building Up Success sessions with Kingo leadership and Pastor
  3. Submit a Parish Administrator Report to Council monthly
  4. run occasional errands – getting stamps, office supplies, order food for meetings, etc
